If you have domain name such as yourname.net or yourorganisation.com and you want to manage emails in your domain, Google Apps may be one of your choices. It can act as your email server with your domain name and on the other hand, it has Gmail features such as spam protection and 6GB space. You do not worry about how to manage your email server in your server. Just let Google Apps (Gmail) manage your emails.

Here is the illustration. I have a domain armidaleindonesia.org and surely a hosting to put this domain in. This website was set for Indonesian Community in Armidale, Australia. There are about 20 members of this community in Armidale. I really wanted to provide domain armidaleindonesia.org as the email address for any of our member such as iman@armidaleindonesia.org, ziadnan@armidaleindonesia.org, etc (those emails do not exist). I can do that use my CPanel. However it gives me pain by installing SquirrelMail and managing the appearances. Moreover, some people do not like the appearance of SquirrelMail, Roundcube or other opensources email server. To buy commercial ones? I don’t have money. Then, my choice weent to Google Apps.

The first advantage using Google Apps for our emails is usage of Google server instead of our hosting space. We do not worry about the space. Many people use limited hosting capacity. To deal with this limitations, we need to limits quota for every email we have, 10MB each for example. With Google Apps, the space is as the same size as Gmail accounts. It is 6GB now.

The second advantage is it uses Google anti spam filtering. I can not say it will be free from spam. However, at least there is an anti spam engine in our email. If we use our own emails server, we need to fix spam problem by ourselves. For experts, it may be not a problem at all, but for me it is a problem because I need to learn to know. I prefer the easier one by let Google Apps use its engine to filter spams in my email.

Third, mainly now I am using Gmail account at beni.raharjo@gmail.com. I really get use with its interface and of course it capabilities. By using the same engine for my email at beni@armidaleindonesia.org (for example, this email does not exist), I and my people don’t need to “learn” how to use the interface of our own mail server.

These are the steps to integrate your domain/hosting with Google Apps for Emails:

1. Visit https://www.google.com/a
2. Compare Editions and Sign Up
3. Just Sign Up for Standard Edition (Free)
4. Enter our domain name and Click on Get Started 
5. Fill some information such as number of users, your details as administrator, etc. Click on
6. Create administrator username and password
7. Click on 

Google has changed some steps above. You can create your standard (free) Google Apps by point this address http://www.google.com/a/cpanel/domain/new

We have created our Google Apps account. Now we are moving on verifying our domain ownership.

1. Click on
2. Choose verification method. I give an example by choosing “Upload an HTML file”.
3. Create a HTML file named as Google Apps suggested. In my case, it asked me to create an HTML file named googlehostedservice.html and put a specified googleffffffffd48b2f50 in it.
4. Upload that file to your server. In my domain, I put this file in http://www.armidaleindonesia/ folder.
5. Click on 

Some services will be active such as Start Page, Docs, Calendar, and Sites. The email is not active yet. We need to activate the email.

1. Clik on Activate Email
2. You will be brought to “Set up email delivery” page (Read the page you will have a guideline to do so. Below is only my guideline)
3. Sign in to your hosting Cpanel
4. Find the “MX Records” icon. If you don’t see any “MX Record” icon in your CPanel, contact your hosting company and ask them to activate this service.
5. Delete all MX Records
6. Create MX Records suggested by Google
7. On Google Apps “Set up email delivery” page, Click on “I have complete these steps”
8. Later on, your email service will be active
9. In your hosting CPanel, you need to create a redirect. For example I crated redirect from http://mail.armidaleindonesia.org to http://mail.google.com/a/armidaleindonesia.org

If I or my friend type http://mail.armidaleindonesia.org, the following page will come

After LOGIN, we have this interface

Now, you can use your “Gmail” using your email at your domain. Almost all features such as chatting also can be used in the interface. However, recently I dont have any idea how to let people register by themselves in our domain. I still need to create accounts using our administrator account. Any idea to do so?
